Bids for 2014 Conference

INVITATION TO BID to Host 2014 APAIE Conference! Any Institution that is interested can call for a bid to host APAIE Conference 2014.

You may send a letter indicating your interest to host APAIE Conference 2014 to the APAIE Secretariat, Grace Kim, at gracek@apaie.org.

Bidding Procedure

Step 1

Write a letter of interest in hosting the APAIE conference to the APAIE Secretariat. Send it via e-mail at gracek@apaie.org, fax (+82-2-921-0684), or ground mail. The contact information is provided below. We will then go through a screening procedure. We will contact the selected bidders to proceed. Please send the letter first before you go on to preparing for the proposal.

Step 2

Send a proposal package to the Secretariat. The package should include the following information. Plans for Venues with pictures:

  1. Main Hall: (700 + people)

  2. Exhibition Hall: (80 + booths)

  3. Class rooms for concurrent sessions: (5-6 rooms)

  4. Reception Hall:

    1. (700 + people, on campus or hotel)
      * Close proximity between buildings is highly recommended (ideally in the vicinity of 5 minute walking distance)

    2. Plans for meal functions

    3. Plans for accommodations

    4. Additional factors (eg. Tourist attractions)

General Information for Bidders

  1. The APAIE Secretariat will provide sufficient and effective support to the host institution.

  2. The Conference is usually held over a three-day period in March/April and it is typically from Wednesday to Friday.

  3. The theme of the conference will be jointly decided by the host institution and the Conference Planning Committee.

  4. The usual format of the conference has been:

Day 1 Day 2 Day 3
8 am - 9 am Registration Registration Registration
9 am - 5:30 pm Pre-conference Workshop Opening Ceremony followed by Conference Sessions. Concurrent sessions are possible. Conference Sessions followed by APAIE Annual General Meeting at 4 pm.

    • It is an official letter or statement that includes the interest of hosting the 2014 APAIE Conference. It can be submitted via email, fax, or ground mail.

    • No, we need no specific requirements or qualifications.

  6. What kind of information are the final candidates advised to include in the proposal package?

    • Plans for Venues with photos:

      1. Main Hall: (700 + people)

      2. Exhibition Hall: (80 + booths)

      3. Class rooms for concurrent sessions: (5-6 rooms)

  7. When is the deadline of submitting the proposal package?

    • The deadline is 31 October, 2012.

  8. What is the next step after the proposal package?

    • The APAIE committee may visit the potential two or three sites and review the plans and may ask for those universities to make a presentation at the APAIE Board of Director's Meeting.

  9. When can we know the final result?

    • APAIE will give the announcement when the APAIE Board of Directors confirm the final host university.
